What problem are you actually trying to solve?

Most small-business owners aren't looking for accounting software. They're looking for answers.

Am I making money?

What came in? What went out? Who owes you money? What do you owe? And is there actually a profit underneath all the activity?

What does HMRC need?

VAT, digital records, Income Tax and Making Tax Digital shouldn't become an emergency every time another deadline arrives.

Can my accountant see it?

Cloud accounting means you and your accountant can work from the same information instead of emailing spreadsheets, backups and shoeboxes backwards and forwards.

The short answer

Xero and Sage are both serious choices. The better question is which one fits your business.

Xero would be high on my list for a modern, growing small business that wants straightforward cloud accounting and access to a very large ecosystem of accountants, bookkeepers and connected business applications.

Sage deserves equally serious consideration, particularly if you value Sage's long UK accounting heritage, integrated payroll capabilities, strong support options, or you're a sole trader looking for a straightforward route into Making Tax Digital.

I'm not going to pretend that one is automatically better because that makes a nicer sales pitch.

I'd look particularly closely at Sage if: you want accounting and payroll sitting naturally together, already know the Sage world, need CIS, stock or multi-currency capability, or value access to telephone support.

My starting point

Which would I investigate first?

I'd start with Xero if...

  • Your accountant already works with Xero.
  • You want a strongly cloud-first accounting system.
  • You expect the business to grow.
  • You want access to a very large app ecosystem.
  • You expect to connect other business systems later.
  • You don't mind paying for the right system from the beginning.
Look at Xero

I'd start with Sage if...

  • You're a UK sole trader preparing for MTD.
  • You already know or trust Sage.
  • You want accounting and payroll closely connected.
  • You work with suppliers or CIS.
  • You may need inventory or multi-currency later.
  • Being able to speak to a support team matters to you.
Look at Sage

Before making the decision

There's one person I'd ask first.

Your accountant.

If you already use an accountant or bookkeeper, ask which system they work with every day.

If your accountant has twenty Xero clients and knows Xero backwards, choosing Sage to save a few pounds may make no sense.

Equally, if your accountant has spent years working in Sage, you need a good reason to make both of you learn something else.

Software is supposed to reduce work. Don't choose something that creates more of it.
